DataFlow for DHA: Primary Source Verification, Status Check and Eligibility Letter

How DataFlow primary source verification works for DHA: documents, steps, fees, timeline, status check, report transfers, delays and the DHA eligibility letter.

Guide · 18 Oct 2026 · Access One

Quick answer

DataFlow is DHA's primary source verification (PSV) partner. It checks your degree, licence, good standing and experience certificates directly with the issuing institutions. Apply through the DHA DataFlow gateway, upload all documents at once, sign the Letter of Authorization and pay. DHA's FAQ puts a new report at about 15 working days; track it at dataflowstatus.com with your case number and passport number.

What DataFlow does for DHA

DataFlow Group has verified credentials for the Dubai Health Authority since 2007. DHA does not accept your certificates at face value. DataFlow contacts each university, hospital and regulator that issued a document and asks them to confirm it is genuine. The result is a report that lands in your Sheryan account under "Verifications and CBT Assessments".

A positive report is one of the gates to a DHA registration. The others are the exam and Get Registered. The full sequence is in our DHA licence guide.

What gets verified

  • Qualifications: degree, postgraduate and specialty certificates.
  • Professional licences and registrations from every country you practised in.
  • Good Standing Certificates.
  • Experience certificates.
  • Logbooks for surgical specialties.
  • Proof supporting an exam exemption.

Documents DHA receives directly from the issuing source do not need separate verification.

Documents to prepare

  • Clear colour scan of your passport.
  • Degree certificates and transcripts.
  • Internship completion certificate, if applicable.
  • Current and previous licences or registrations.
  • Good Standing Certificate from your last regulator, issued within the past six months.
  • Experience certificates (see below).
  • Name change document if any certificate uses a different name than your passport.
  • Signed Letter of Authorization (LOA). DataFlow publishes a DHA LOA template.

DataFlow does not require attestation, apostille or physical copies. It does need all documents at the start. Adding documents later costs extra and delays the report.

DHA experience certificate: what it must show

Experience letters cause more delays than any other document. Ask HR to issue each one on official letterhead with:

  • Your full name as on your passport.
  • Exact start and end dates (day, month, year), or "to date" if still employed.
  • Job title and specialty or department.
  • Full-time or part-time status.
  • Name, title, signature and stamp of the authorised signatory.
  • A working phone number and email for HR, so DataFlow can verify it.

Warn your past employers that DataFlow will contact them. A reply within days instead of weeks is the biggest single time saver.

How to apply: step by step

  1. Run the DHA self-assessment first. It is free in Sheryan. Do not pay for verification until it confirms your title. See our Sheryan login guide.
  2. Open the DHA DataFlow gateway at dha.dfgateway.com and create an account.
  3. Enter your details exactly as on your passport, plus any DHA reference the form asks for.
  4. Add each document with the issuing authority's name, address and contact details.
  5. Sign the LOA. Most cases accept a digital signature. DataFlow will tell you if an authority needs a wet signature.
  6. Pay. You receive an email from notifications@dataflowgroup.com with your DataFlow case number. Keep it.
  7. Answer any DataFlow emails fast. Requests for missing details pause the case.
  8. Get the report. It appears in Sheryan once complete.

DataFlow DHA fees

DataFlow does not publish a flat DHA price. The amount appears after you choose a package and depends on how many documents you submit. Some issuing authorities, such as certain universities, add their own fee, which is shown when you select them. Refund requests must be made within 48 hours of payment.

The DataFlow fee is separate from DHA fees (AED 200 to Get Registered) and the Prometric exam fee (USD 240 to 280). See the DHA exam guide for exam costs.

Already verified for another UAE authority?

DHA accepts DataFlow reports from DOH, MOHAP and Sharjah. Transfer them instead of starting again:

  • Old DHA reports issued after 2017: transfer is free.
  • Reports from other authorities: AED 300 transfer fee.
  • Transfers complete within about five working days.

DHA can still ask for extra verification on transferred reports.

Timeline

  • DHA's FAQ: a new report is issued within about 15 working days of payment.
  • DataFlow's own FAQ: standard processing is 15 to 25 working days from payment and complete submission.
  • Report transfer: about 5 working days.

Those are targets for cooperative institutions. A slow university or a closed former employer can stretch a case to several weeks or more. You can book the DHA exam while verification runs.

DataFlow status check

  1. Go to dataflowstatus.com/applicationstatus.
  2. Enter your DataFlow case number and passport number. No case number? Search by your client reference number.
  3. Read the stage for each document. A status that does not move usually means an institution has not replied yet.
  4. Download the report from the same site once complete. You also get an email.

DataFlow's DHA page notes that people who applied on or before 31 August 2024 should check status on the main dataflowstatus.com site.

Report outcomes and appeals

OutcomeMeaningWhat to do
PositiveDocument confirmed by the sourceNothing. It counts toward your registration.
Unable to Verify (UTV)The source did not respond or could not be reachedRequest re-verification. DHA allows up to two per document. Supply new contact details.
DiscrepancyThe source's answer does not match the documentOne re-verification per document under DHA rules. Fix the root cause first.

DataFlow gives one free re-verification if you file within 180 days of the report. A UTV caused by missing information from you may cost extra.

Common delays and how to avoid them

  • Name mismatch between passport and certificates. Upload a name change document at the start.
  • Old Good Standing Certificate. It must be under six months old when you apply to DHA.
  • Vague experience letters with no dates or signatory contact.
  • Wrong or generic contact details for the issuing institution.
  • Blurry or cropped scans.
  • Documents added after payment. Each one is billed and resets the clock.
  • Paying before the self-assessment confirms your title.

The DHA eligibility letter

"DHA eligibility letter" is the name most people still use for the Professional Registration certificate. You get it after a positive DataFlow report, a passed exam (if required) and the Get Registered service (AED 200, about five working days).

  • What it means: you are on the Dubai Medical Registry and cleared to be hired. It is not a licence and does not let you treat patients.
  • Validity: one year from issue.
  • Renewal: AED 200 within the 90 days before it expires, without resitting the exam.
  • Turning it into a licence: a DHA-licensed facility that hires you activates your licence in Sheryan.

Do not confuse it with the "Review Registration Eligibility" result. That is a paid manual review (AED 200) for people whose self-assessment came back "not eligible".

Frequently asked questions

How long does DataFlow take for DHA?

DHA says about 15 working days for a new report; DataFlow says 15 to 25 working days. Slow responses from universities or employers are the usual reason for longer waits.

Yes. Transfer it through DataFlow for AED 300. Old DHA reports from after 2017 transfer free.

How long is the DHA eligibility letter valid?

One year from the date of issue. Renew it for AED 200 within 90 days before expiry if you have not been hired yet.
